Reports to: Child Nutrition Program Supervisor
General Definition of Work: Performs skilled bookkeeping duties for the Child Nutrition Program. Assists CNP managers with Point of Sale computer questions and program inquiries, processes meal applications and coordinates work orders. Receives and processes incoming calls and visitors, prepares and maintains manual and computerized files and records, prepares reports, and related work as apparent or assigned. Work is performed under the moderate supervision of the CNP supervisor.
Essential Functions:
- Performs all bookkeeping and accounting responsibilities for the Child Nutrition Program; processes all invoices for payment; verifies all deposits; prepares monthly financial information for each school; reconciles payroll, assists with budgetary and other financial data; prepares bills; performs calculations and posts to statistical and other records applying knowledge of regulations; maintains inventories and orders supplies
- Works closely with the Amherst County Treasurer’s Office and County Accounting Office to verify and balance bank statements and check registers
- Receives and disseminates kitchen work orders; contacts CNP maintenance personnel or contracted maintenance personnel as necessary
- Assists cafeteria managers with questions related to Point of Sale computer system, applications, on-line payments, work orders, supplies, etc.; takes minutes at CNP Manager meetings
- Acts as a receptionist; greets visitors; answers telephone; provides information; forwards calls to appropriate party; assists parents with meal applications, online payment issues and account balance inquiries; directs visitors to appropriate party
- Types a variety of documents including correspondence, forms, reports, purchase orders, etc.
- Enters a variety of data into the computer; enters and retrieves sensitive and restricted information into Point of Sale computer system; verifies applications chosen for annual Verification process for accuracy and completeness
- Performs daily imports for the Point of Sale computer system; verify on-line payments daily; verify end-of-day accounting reports and deposits with the bank statement; generates daily and weekly back-ups for computer system
- Monitors visitors entering the building
- Troubleshoots personal computer and peripheral equipment in CNP office
- Bids small ware and supply items for kitchens and CNP office; orders supplies; inventories and restocks supplies
- Performs the duties of Child Nutrition Manager when required
- Maintain Level 1 Certification with the School Nutrition Association; knowledge of USDA and Health Department Regulations
- Attends meetings in the absence of the supervisor; serves as a point of contact in the absence of the supervisor
- Operates a variety of standard office equipment; performs light maintenance on copiers
- Processes incoming and outgoing mail
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting and speaking or hearing and occasionally requires standing, walking and repetitive motions; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
General knowledge of standard office practices, equipment and office assistance techniques; general knowledge of business English, spelling and arithmetic; general knowledge of school and departmental programs and policies and terminology; ability to read and understand moderately detailed policies, procedures and job related materials; ability to type and transcribe dictation at a reasonable rate of speed; ability to make mathematical calculations; ability to operate a variety of office and computer equipment and produce documents and correspondence; ability to follow oral and written directions; ability to establish and maintain effective working relationships with associates, students, parents and the general public. A high school diploma or high school equivalency certificate and moderate experience in general office assistance and accounting work, or equivalent combination of education and experience.
Associates Degree and child nutrition experience preferred
Contract Period: 12 months
