Reports to: Chief Human Resources Officer 

 

General Definition of Work: Performs administrative work assisting with the human resources program and activities, enforcing school division licensure requirements, maintaining and updating files, assisting with staff recruitment, and related work as apparent or assigned. Work is performed under the limited supervision of the Chief Human Resources Officer.

 

 

Essential Functions:

  • Processes and monitors teaching license applications, renewals, upgrades, added endorsements, certification deficiencies, and pending renewals; communicates with teachers, principals, and Department of Education staff regarding expiration and renewal of teaching licenses; answers inquiries regarding professional licensure
  • Implements monitoring systems to ensure that all employees in license-dependent positions attain and maintain proper licensure and endorsement for their assigned positions. Informs professional staff members of licensure regulations and procedures for obtaining and retaining a professional license
  • Manages local, state, and federal reporting as necessary in an accurate and timely manner
  • Advises professional staff members of school division’s expectations for professional licensure and the consequences of non-compliance
  • Provides payroll information for pay changes, and new hire information for paycheck distribution; works with Payroll/Benefits Coordinator to ensure that correct pay amounts and employment records are processed
  • Attends training; reads and interprets Virginia Department of Education memos regarding license requirements and conveys information to supervisor and staff as necessary
  • Compiles, inputs, and maintains personnel data and updates employee demographics and employee records management databases
  • Prepares, processes, and files personnel and human resources correspondence, memos, announcements, bulletins, vacancy advertisements, school calendar, handbook, personnel directory, and other miscellaneous reports
  • Manages employee contracts to include stipend assignments and contracts
  • Compiles data; prepares surveys for reporting to the U.S. Department of Labor and Virginia Department of Education
  • Handles inquiries and requests for information from other agencies, school divisions, and the Virginia Department of Education
  • Serves as a receptionist; assists other office staff as needed
  • All other duties as apparent or assigned

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting and speaking or hearing and occasionally requires standing and walking; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic)

 

Thorough knowledge of personnel practices and procedures; thorough knowledge of school division personnel rules and regulations; thorough knowledge of regulations regarding the maintenance and updating of licensure files; ability to present ideas effectively, both orally and in writing; ability to apply established policies, practices, and procedures; ability to establish and maintain effective working relationships with school officials, associates, and the general republic. An associate’s or technical degree with coursework in human resources or related field preferable, and considerable experience providing administrative support in a human resources office preferably for an educational institution, or an equivalent combination of education and experience.
